Business Process Automation

Business process automation services for teams still doing it by hand

I map the manual work that eats your week, then build the automation that removes it: order processing, reporting, customer replies, content publishing. What I build, I also maintain.

Built with n8n, Make and Zapier for fast, no-code wins, plus custom Python and APIs when the logic, or the AI part, needs more than a workflow builder can give it.

Where the time actually goes

The work that shouldn't need a person

Most businesses don't have one automation problem. They have four or five small, repetitive ones spread across different tools. These are the ones that come up most often.

Orders & fulfilment COMMERCE

Stock checks, invoicing and dispatch notices moving automatically between WooCommerce, your accounting software and the courier, without someone re-typing the same order three times.

Reporting & data sync OPS

Numbers pulled from separate tools into one sheet or dashboard, on schedule, so nobody spends Monday morning copy-pasting last week's figures.

Customer communication SUPPORT

Enquiries routed, confirmations and follow-ups sent automatically, with a clear line drawn around what still needs a human reply.

Content & publishing CONTENT

Scheduled pipelines that take content from source to an SEO-checked, published post, the same approach as the content pipeline in the case studies below.

E-invoicing in Greece

B2B e-invoicing through myDATA applies to almost every Greek business from 1 October 2026, with a transition period to 31 December 2026. If invoices are still created from orders by hand, that flow is usually the first one worth automating, so that each order reaches the e-invoicing provider and the ERP without anyone typing it again.

The cost of doing it by hand

How soon does an automation build pay for itself?

A build is worth it when it costs less than the work it removes. Three costs decide that.

  1. Staff time. The hours a process takes each month, multiplied by what an hour of that person's time costs you, employer contributions included.
  2. Errors. Wrong invoices, credit notes, orders sent twice, and the time spent finding and fixing each one.
  3. Compliance risk. Once the e-invoicing transition period ends on 31 December 2026, a Greek B2B invoice that is not issued electronically is treated as not issued, and a first offence can cost up to 50% of its VAT.
Measure your own figures with a process audit
Example: orders re-typed into the ERP
26 hours a month at €10 an hour
€260
3 invoice errors a month, 45 minutes each to fix
€23
Cost of doing it by hand, per month
€283
Per year
€3,396

At that rate, an Essential build from €790 pays for itself in under three months. Example figures: a process audit measures your own hours, costs and error counts.

Case study

Order to ERP, with nobody re-typing anything twice

A real automation that I built and still run, not a mock-up. Details below are described generally rather than tied to a named client.

A Greek health and supplement business selling through its own WooCommerce store and two marketplace channels used to have someone re-key every order into the accounting ERP by hand: customer details, line items, VAT, shipping and payment method, then work out which invoice series it belonged to depending on where the order came from. Now a WordPress plugin sends every order to the ERP automatically over its web service, resolves the correct document series itself, keeps marketplace orders correctly flagged and reconciled against ERP totals, and flags an order the moment it looks filed under the wrong customer, instead of that mistake sitting invisible until someone finds it at tax time. It has been in production long enough to go through five rounds of hardening from real failures, not hypothetical ones.

Before

  1. Every order re-typed into the ERP by hand
  2. Marketplace orders reclassified manually
  3. VAT and invoice series picked from memory
  4. A wrong customer match invisible until it caused a problem
  5. Totals reconciled against the ERP at month-end

After

  1. Every order sent to the ERP within about 30 seconds
  2. Marketplace orders flagged and reconciled on their own
  3. Invoice series and VAT resolved automatically, per order
  4. A mismatched customer flagged the moment it happens
  5. Order totals reconciled against the ERP as they arrive

Why this matters

Automation earns trust by failing safely, not by never failing. This integration treats a duplicate-order response from the ERP as success rather than retrying it into a second document, claims each order atomically so the same one can never be sent twice, and backs off on a schedule instead of silently dropping an order after one failed attempt.

Content pipeline CONTENT

A Greek lifestyle publisher's daily routine (scan news sources, draft an SEO-sound article, prepare an image, check the SEO score, publish) is now a scheduled pipeline that runs unattended every morning, source to published post, with its own SEO auto-correction loop and a fallback model if the primary one is unavailable.

Price monitoring REPORTING

A Greek health-supplement business used to check marketplace listings by hand to see who was undercutting its prices. A scheduled job now checks two marketplaces daily against a maintained product crosswalk and emails a report naming exactly which competitor, which product, and by how much.

How it works

From audit to a build you can trust

01

Process audit

The workflow is mapped as it really runs today, not the org-chart version, with a plain answer on where automation pays for itself and where it doesn't.

The audit on its own, from €190
02

Design

The right tool for the job: a no-code flow in n8n, Make or Zapier for simple routing, or a custom Python/API build when the logic, or the AI part, needs more control.

03

Build & integrate

Built against your actual tools (WooCommerce, your accounting software, your CRM, WordPress) with error handling from day one, not bolted on after something breaks.

04

Test & launch

Run against real data and real edge cases before it touches anything live.

05

Monitor & improve

Automations get watched, not abandoned. See Managed Automation below.

Pricing

Fixed prices, two ways to work together

A one-off build for a defined workflow, or a monthly arrangement that keeps what was built under watch. Most clients start with a build and add monitoring once it has proven itself.

Her background is in design. She trained in graphic design in Athens and at the Academy of Fine Arts in Katowice, produced multilingual publications for EU institutions, and moved to the web in 2015, building WordPress sites, hand-coded HTML email for major brands such as Papastratos and BMW, and Magento front ends for car parts retailers, while growing FDesign alongside. That route from design into engineering is why her work covers the interface, the code and the infrastructure as one job.

FAQ

Before you ask

Do I need to replace the tools I already use?

No. Automation connects the tools you already have: WooCommerce, your accounting software, your CRM, your inbox. Replacing something is only ever a recommendation, never a requirement.

What if my team isn't technical?

That is what the audit step is for. It turns what your team already does into a build, not the other way round. You don't need to read the workflow to use it.

How long does a build take?

A single-workflow Essential build is usually a week or two. A multi-step Professional build runs closer to three to four weeks, including testing against real data before launch.

What happens if something breaks?

Every build ships with error alerts by default. Under Managed Automation the alert comes to me and I fix it, so you hear that something happened, not that it is yours to solve.

Are there running costs besides the build?

Sometimes. A workflow platform such as Make or Zapier has its own monthly plan, and AI steps are billed by use. The fixed-price quote lists these running costs before you decide.

Can you automate e-invoicing from WooCommerce?

Usually, yes. When your ERP or e-invoicing provider has an API, each order can reach it automatically, so the invoice is issued without anyone retyping it. The process audit checks this first.

Where does my data go?

I am based in Athens and build within the EU rules your business already works under. Wherever a build touches customer data, it is covered in the process audit, not left for later.

Do you work with businesses outside Greece?

Yes, remotely, in Greek or English, in Cyprus and anywhere else. Businesses elsewhere in the EU with a VAT number are invoiced under the reverse charge, so no Greek VAT is added.

Stop doing by hand what a workflow can do for you

Pick the way in that fits where you are. Every build is quoted at a fixed price before any work starts.

Not sure where to start

A process audit finds the workflow worth automating first, from €190.
