AI & Business Systems Consulting
Independent AI and business systems consulting
Advice on which ERP, e-shop, CRM and e-invoicing setup to keep, replace or connect, and on where AI tools are worth paying for. No software vendor pays me a commission, so the recommendation depends on your numbers, not on a sale.
From €65 an hour, in Greek or English, wherever your business is. Every session ends with a written recommendation that you keep.
| # | Decision | Effort | Verdict |
|---|---|---|---|
| 1 | ERP and accounting | None | Keep |
| 2 | Shop orders typed into the ERP | Low | Connect |
| 3 | Customer records in three spreadsheets | Medium | Replace |
| 4 | Replies to routine customer emails | Low | AI with review |
| 5 | Chatbot on the website | Medium | Not yet |
What it is
What does an AI and business systems consultant do?
An AI and business systems consultant helps a business choose, connect and use its software: the ERP, the e-shop, the CRM, invoicing, email and files, and the AI tools that sit on top of them.
For each decision you see the realistic options side by side: what each one costs over three years, how it fits the systems you already run, where your data ends up and what could go wrong. The answer is written down, so you can act on it, share it with your team or give it to any supplier.
Consulting sits next to the process audit. The audit measures where time and errors go inside your processes, while consulting answers a specific decision, such as which system to buy or whether to sign a quote. Both are part of the FDesign automation services.
It is worth booking if
- you have a quote for a new ERP, e-shop or CRM and want an independent view before you sign
- your systems do not talk to each other, so staff type the same data twice
- you have to choose how to issue e-invoices: a certified provider, your ERP vendor's service or AADE's free tools
- your team already uses ChatGPT, Copilot or Gemini, and nobody has set rules for customer data
- you are planning a bigger change and want a roadmap before committing budget
Not sure where the hours go? Start with a process audit, which measures that first.
What it covers
Which decisions does the consulting cover?
These are the decisions that come up most often when a business outgrows the systems it started with. Each one ends with a clear verdict: keep, replace, connect or wait.
ERP and accounting
Keep, upgrade or replace, and what a switch really costs over three years once support, extra users, connectors and moving the data are counted.
E-shop and marketplaces
WooCommerce or a hosted platform, and how orders, stock and prices should move between the shop, the marketplaces and the ERP.
Customer data and CRM
One customer list instead of three, a CRM that suits a team of your size, and which records are worth moving across.
E-invoicing
A certified provider, your ERP vendor's service or AADE's free tools, chosen on your invoice volume and on the system that issues your invoices today.
AI tools for the team
ChatGPT, Microsoft Copilot or Gemini: which plan, for which tasks, at what monthly cost per person, and which data stays out of them.
AI inside your processes
Where an AI step earns its running cost, such as reading supplier invoices or sorting email, and where a plain rule does the job better.
Deadline in Greece
Every remaining business in Greece comes under the B2B e-invoicing rules on 1 October 2026, and from 1 January 2027 an electronic invoice is the only one that counts. If that is still open at your end, a decision call settles which route fits, what has to be declared and how much of it your current software already does.
Book a decision callIndependent advice
Vendor advice or independent advice: what is the difference?
Advice from a software vendor or reseller can be good, and it is usually free because the sale pays for it. Independent advice is paid for by you, so it can include options that earn nobody a commission, such as keeping what you already have.
| Question | Vendor or reseller advice | FDesign consulting |
|---|---|---|
| Who pays for the advice | The sale, through a licence margin or a commission | You, by the hour or at a fixed price agreed first |
| Options compared | The products they sell | Every realistic option, keeping what you have included |
| Costs shown | Licence and set-up | Three years of costs: support, users, connectors, e-invoicing and AI usage |
| Your data | Usually covered only if you ask | Where it is stored, who can reach it and how you get it back |
| What you keep | A proposal for their product | A written recommendation any supplier can work from |
| Price | Free, recovered in the sale | €65 an hour, or a fixed price |
If the best option is something I could build, the recommendation says so openly, and it is written so that any developer could carry it out. Not sure paid advice is worth it for your business? Start with the free 20-minute call.
Before you sign
What should you check before signing a software quote?
Most quotes are clear about the licence and vague about everything after it. These are the six questions a second opinion answers, in writing, for your quote.
- Scope. What the price includes, what counts as extra, and what the job needs that the quote does not mention.
- Three-year cost. Support and updates, per-user fees, connectors, e-invoicing and AI usage added up over three years, not only the first invoice.
- Fit. Whether it works with your e-shop, marketplaces, accounting and e-invoicing route, and who builds each connection.
- Data and exit. Who owns the data, whether all of it can be exported, and what leaving would cost.
- Price after year one. Minimum terms, automatic renewals and how far the price can rise.
- Support. Who fixes what when something breaks, how quickly, and in which hours.
- Annual support and updates
- yearly
- Extra users as the team grows
- per user
- Connector to the e-shop or marketplaces
- one-off
- E-invoicing provider
- monthly
- Moving your existing data
- one-off
- Training your staff
- one-off
- AI features and usage
- per use
- Three-year total
- in the review
The second opinion puts a figure on each line for your quote, so two offers can be compared on the same terms. Fixed price €195, with the written review within 3 working days.
Greece and Cyprus
What the consulting covers for businesses in Greece and Cyprus
Sessions run over video calls, in Greek or English. If AI still feels early for your business, the figures agree: in 2025, Eurostat counted 8.9% of Greek and 9.3% of Cypriot businesses with ten or more staff using it, against 20% across the EU. Among the businesses that looked at it and decided against, the reason given most often was having nobody in house who knows the subject. None of this limits the service to the two countries: the sessions are remote, so a company in Athens, an office in Limassol or a business anywhere else books the same way.
E-invoicing in Greece MYDATA
B2B e-invoicing has been compulsory since 2 March 2026 for businesses whose 2023 revenue passed €1 million. Every other business in Greece follows on 1 October 2026, the older ways of issuing stay allowed beside it until 31 December 2026, and from 1 January 2027 the electronic invoice is the only one that counts. Invoices travel either through a certified provider or through the free AADE applications, the channel has to be declared, and an ERP on its own is not a channel. The advice picks the route that fits your invoice volume and the system that issues your invoices.
AI rules in the EU AI ACT
A business that uses AI has to support the AI literacy of the staff who use it, and since 2 August 2026 a chatbot has to make clear to the visitor that it is software. Supervision sits with the Hellenic Data Protection Authority in Greece, under the implementing law passed in July 2026, and with the Commissioner of Communications in Cyprus. The heavier duties for high-risk uses, such as sifting job applications, were put back to 2 December 2027. The team session leaves you with a short usage policy and a record of the training, which is the practical way to show the literacy step was taken.
Where your data goes GDPR
ChatGPT, Copilot and Gemini plans differ in where they store and process data, in whether what your staff types can be used to improve a model, and in how much of that you can switch off. Business plans and personal plans do not behave the same way. The advice matches each tool and plan to the data your team actually puts into it, before anyone pastes in a customer list.
Cyprus and cross-border sales VIDA
Cyprus has set no date for domestic B2B e-invoicing. Public bodies there have had to accept electronic invoices since 2019, while suppliers may issue them and are not obliged to. Under the EU ViDA rules, invoices for intra-EU B2B sales have to be electronic and reported from 1 July 2030, so software bought now should be able to produce them without a second project later.

How it works
How consulting works, from first call to written advice
Free call
20 minutes to hear the decision and what depends on it. You leave knowing whether paid advice is worth it and which option fits. If a short answer settles it, you get the short answer.
Book the callDocuments first
Quotes, contracts, a list of the systems you use and a few sample invoices or orders, sent before the session so the paid time goes on the decision. No passwords needed.
The session
A video call in Greek or English. The options are compared on cost, fit, data and risk, on screen where that helps.
Written advice
The recommendation in writing: the decision, the options, the costs, the risks and the next steps. It is yours to keep and to share with anyone.
Advice based on systems I build and still run
The recommendations lean on integration work I do myself. These systems run every day for a Greek health and supplement business, and they shape what the advice says about cost, effort and risk.
Running today
- Shop and marketplace orders sent to the SoftOne ERP within about 30 seconds
- Order totals reconciled against the ERP as they arrive, with duplicate orders blocked
- A daily price check across marketplaces, delivered as a dated Excel report
- Customer lists kept current in Google Sheets, straight from the shop
What it brings to your decision
- Estimates for a connection that come from one already running in production
- Knowing where a ready-made connector ends and custom work begins
- Knowing what goes wrong after launch, from cancelled orders to totals that do not match
- Data protection planned in from the start, including customer requests to see or delete their data
Independent, not hands-off
Recommending a system and building the connection to it are separate decisions. The advice is written so that any developer can carry it out. If you would like FDesign to build it, that is quoted separately at a fixed price, like every business process automation build.

FAQ
Questions about AI and business systems consulting
What does an AI and business systems consultant do?
An AI and business systems consultant helps a business choose, connect and use its software, from the ERP, e-shop and CRM to e-invoicing and AI tools. Each decision ends with a written recommendation: the options, their cost over three years, how they fit your current systems, where your data goes and what could go wrong.
How much does AI consulting cost for a small business?
FDesign charges €65 an hour, excluding VAT. A second opinion on a software quote costs €195, a systems and AI roadmap starts at €590, a team AI session costs €260 and the monthly advisor plan costs €130 for two hours a month. The first 20-minute call is free.
How much of my time does it need?
A decision call needs the 45 minutes of the call and a few minutes to send your documents. A second opinion needs the quote and the 30-minute call at the end. A roadmap takes about three hours of your team's time over two weeks, spread across a few calls.
Is the free call a sales pitch?
No. The 20 minutes are for hearing the decision and telling you whether paid advice is worth it. If a short answer settles the question, you get the short answer, and nothing is booked unless you ask for it.
Do you take commissions from software vendors?
No. No software vendor pays me a commission or a referral fee, so the recommendation depends only on your situation. If the best option is something I could build, the recommendation says so openly and is written so that any developer can carry it out.
What if the best answer is to buy nothing?
Then that is the recommendation, with the reasons. Keeping what you have is a real option, and the advice always prices it alongside the others.
Does AI actually pay off for a business like mine?
Often it does not, and that is worth knowing before the money goes out. Surveys of company leaders in Cyprus and across Europe keep finding that most businesses see no measurable change in revenue or cost from their first AI projects, usually because a tool was chosen before the problem was defined. The advice starts from the task, the hours it takes and what an error costs, then says whether AI, a plain rule or no change at all is the cheapest way to fix it.
How is consulting different from the process audit?
The process audit measures where hours and errors go inside your processes and ranks what to automate. Consulting answers a specific decision, such as which system to choose, which AI tool to use or whether to sign a quote. The two work well together: the audit finds where the time goes, and consulting settles the system decisions around it.
Should I replace my ERP or connect it to my e-shop?
It depends on what the ERP can do today. If it offers web services and handles your invoice types and VAT rules, connecting it to the e-shop usually costs far less than replacing it. Replacement is worth pricing when support for your version is ending, the licence no longer fits your size, or the ERP cannot work with your e-invoicing route.
ChatGPT, Microsoft Copilot or Gemini: which is right for my team?
It depends on where your email and files already live and on what data your staff will put in. Copilot works inside Microsoft 365 and Gemini inside Google Workspace, while ChatGPT stands apart from both. Plans differ in price, in data protection and in whether data can stay in the EU, so the choice is made per plan, not per brand.
Is it safe to put customer data into ChatGPT or Copilot?
Only on a business plan with the right settings, and only for data your privacy notice covers. The business plans of the main tools state that your data is not used to train their models, while free and personal plans work differently. Where data is stored and processed also depends on the plan, so the consulting sets out which data may go into which tool.
What does the EU AI Act require from a small business that uses AI tools?
For most small businesses, two things matter today. Staff who use AI need a basic understanding of it, built through proportionate steps such as a short training session and clear usage rules, with no certificate required. And a chatbot on your website must make clear that it is an AI. Stricter rules for high-risk uses, such as screening job applicants, apply from 2 December 2027.
When does e-invoicing become compulsory in Greece?
It already is for businesses whose 2023 revenue passed €1 million, from 2 March 2026. Every other business in Greece comes under the rules on 1 October 2026, the older ways of issuing stay allowed beside them until 31 December 2026, and from 1 January 2027 the electronic invoice is the only one that counts. Businesses that start on 1 October also have to declare how their invoices will be sent, within the first days of that month.
Do I need an e-invoicing provider in Greece?
Not always. Greek B2B e-invoices can go through a certified provider, including the services some ERP vendors run, or through the free applications of AADE, the Greek tax authority. An ERP on its own does not count as a route, and whichever one you pick has to be declared. Which fits depends on how many invoices you issue and on the system that issues them: if invoices come out of an e-shop or an ERP, a provider connected to it usually saves re-typing. Your accountant confirms the tax side.
Can consulting be paid for with a grant?
Sometimes, though not through an AI programme at the moment. The Greek and Cypriot schemes that paid for software and consulting for small businesses have closed, and some general business calls still treat digital costs as eligible. When a call that fits opens, the roadmap gives you the technical scope and the costs an application needs. I do not prepare grant applications myself, and the paperwork stays with your accountant or a grants consultant.
Will what I share stay confidential?
Yes. Quotes, contracts and details of your systems are used only for your review and go to nobody else. Nothing about your business is published or used as an example without your written permission, and a non-disclosure agreement can be signed before you send anything.
Do you work with businesses in Cyprus and elsewhere?
Yes. Consulting runs over video calls, in Greek or English, for businesses in Greece, Cyprus and any other country. The work is remote from the first call to the written recommendation, so where your business sits changes nothing except the hours that suit the call. Businesses elsewhere in the EU with a VAT number are invoiced under the reverse charge, so no Greek VAT is added.
